Strategy, policy & procedures development
A fundamental part of your governance structure. Not as boring as it sounds.
Whether it is an infrastructure ISSP, a Records Management strategy or defining ITIL processes, we have the skills and experience to help you; from engaging stakeholders through to implementation. Our breadth of experience and skillset ensure that any solution we define with you is based on established best practice and is the best fit for your organisation.
Information Management
Are you grappling with the alarming quantity of information flowing through your office? Do you have years of business files and emails stored in public folders, file shares, personal folders, hard drives, desktops or your inbox? You are not alone. Many organisations have identified that this ‘information explosion’ brings with it real risks for business; not simply in terms of storage, but also in the retrieval, management, reliability and integrity of such large volumes of information.
Today's governance culture with its mounting set of regulatory bodies, legislation and standards, creates risks for any organisation that does not manage business-critical information properly. The consequences of failure to adequately mitigate this risk can be dire as evidenced by the string of recent scandals that have shaken public trust, not to mention the fate of several major corporations.
Where to Start
If you've recognised a need to more effectively manage your information assets in a systematic and coherent framework - you are underway. We can help you identify where your information management risks, gaps and requirements are, work with you to draft and define policy, procedures and templates, put together a classification scheme and a high level definition of the training and education activities required and develop a monitoring and reporting framework. We can group these services together into one project, or you can take each in isolation depending on where you are currently at. Take a look at each one in a little more detail:
Gap Analysis
Here we get you a picture of the current environment and a gap analysis of the existing information and recordkeeping systems against best practice standards. We'll highlight areas of best practice, quick wins and areas that require immediate attention. This service will also include the creation of a high level risk and issues register based on the findings of the analysis.
Business Classification Scheme
This area of work will provide you with the top 3 levels of a business classification scheme, a core pillar in your information Architecture; a means of structuring your information assets so that recordkeeping policies and procedures can be applied systematically throughout the organisation to meet regulatory compliance standards.
Policy and Procedures
Here we provide you with the required policies and procedures to enable staff to systematically comply with the regulatory or legilative standards you operate under, and to enable your staff to become more productive and efficient. This work will also include the creation of a policy map, detailing all of the policies in place and their relationship and interaction with each other and the wider policies and procedures of your organisation.
Training and Education
You might have a forlorn or underperforming eDRMS already or you want to ensure your staff are on board from day one. The need to adequately train and educate users in their recordkeeping responsibilities is fundamental to your success. This area of work will provide your ogranisation with a high level definition of the training and education activities required and also a list of competencies that those involved in recordkeeping activities should have.
Monitoring and Reporting Framework
Once you've got it, you need to keep it. This area of work will provide your ogranisation with the required monitoring framework to ensure the information architecture put in place is being properly adhered to across the organisation and provide regular reporting back to the appropriate management team and responsible individuals. Regular reporting is a necessary part of any compliance activity, including Public Records Act and other legislative or compliance standards.
